Working with multiple calendars in Outlook on the web

Outlook on the web for Office 365 Business, Outlook on the web for Office 365 ,Business Outlook on the web for Exchange Server 2016, Outlook on the web for Exchange Server 2019

Outlook on the web lets you view more than one calendar at a time. The calendars might be yours, or they might be a combination of your calendars and calendars from people inside and outside of your organization. For information about calendar sharing and adding calendars that belong to other people to your calendar view, see Share your calendar in Outlook on the web.

Note: Sign in to Outlook on the web using your Office 365 work or school account.

Add a calendar

There are several types of calendar that you can add. See Add a calendar in Outlook on the web and Import or subscribe to a calendar in Outlook on the web for more information.

Create a calendar group

By default, you'll see three groups in the calendar navigation pane: CalendarsOther calendars, and People's calendars. You can use the context menu to create additional groups.

  1. In the calendar navigation pane, right-click Calendars or Other calendars and then select New calendar group.


  2. Type a name for your new calendar group, and then press Enter.

    Right-click an existing calendar group to create or open a new calendar in the group, or to rename or delete the group.

Note: You can only rename or delete calendar groups you've created. You can't move a calendar between calendar groups.

Add or remove calendars from your calendar view

  • To add or remove a calendar from your calendar view, select the check box next to the calendar in the calendar navigation pane. Removing the checkmark next to a calendar only removes it from your view, it doesn't remove the calendar from your account.

  • You can rename, delete, share, update permissions, or change the color and charm of calendars that you own. Select the calendar, and then right-click to open the menu.

  • If you’ve added a calendar that belongs to someone else to your calendar view, right-click to rename, remove, change the color, or change the charm of that calendar. If you remove a calendar that belongs to someone else, it's removed only from your account, it's not deleted.

View more than one calendar at a time

  • You can add and view as many calendars as you want to your account. The color of each calendar lets you know what items belong to which calendar.

  • In merged view, you'll be able to see all of the calendars at once. In split view, you might have to scroll horizontally to see all of them.

  • You can view the DayWeek, or Work week views in either merged or split view. You can turn split view on or off using the toggle in the calendar view selector at the top of the calendar window.

If you own more than one calendar, you can choose which calendar to create an event in by selecting it from the drop-down list in the new event window.





Move events to different calendars

You can move an event to a different calendar. 

  1. Right-click the event you want to move and select Edit.

  2. Select More details at the bottom of the event description.

  3. In the event window, select the calendar name, and choose another calendar from the drop-down menu.

  4. Select Save.






Instructions for classic Outlook on the web

Add a calendar

You can use the context (right-click) menu to add calendars to your account as needed. For example, you might want to create a separate calendar for project deadlines or for a sports team schedule.

Your calendars is a good place to create a calendar unless you’re going to be creating a lot of calendars. If you expect to create a lot of calendars, you might want to create calendar groups to organize them. See Create a calendar group.

To create a calendar in Your calendars

  1. In the calendar navigation pane, select   next to Your calendars.

  2. In the Calendar name box, type the name you want to use for your new calendar, and then press Enter.

Tip: You can create a calendar in the Other calendars folder just as you did in the Your calendars folder. Choose   next to Other calendars, type the name for the new calendar in the Calendar name box, and then press Enter.

Add a calendar from your organization's directory

  1. In the calendar, go to the toolbar and select Add calendar > From directory.

  2. In the From directory box, type the name of the calendar you want to add. Outlook on the web will automatically find matching entries from the organization's directory.

  3. Choose the calendar you want to add, then select Open.

Add a calendar from the internet

To learn how to open a calendar from the internet, go to Import or subscribe to a calendar in Outlook on the web.

Note: You can add only one calendar at a time. Repeat the instructions for each calendar you want to add.

Create a calendar group

By default, you'll see two groups in the calendar navigation pane: Your calendars and Other calendars. You can use the context menu to create additional groups.

Before you create a calendar group, you might want to browse existing groups to make sure you're not duplicating a group name.

  1. In the calendar navigation pane, right-click (or touch and hold if you're using a touch device), and then select New calendar group.

  2. Type a name for your new group, and then press Enter.

    Right-click an existing group to create or open a new calendar in the group, or to rename or delete the group.

Note: You can't move a calendar between groups.

Manage multiple calendars

  • Calendar view. You can add or remove a calendar from the calendar view by choosing   . Just hover over or point to the calendar at the top of the calendar window, and the   turns on or off.

  • More options. You can rename, delete, share, update permissions, or change the color and charm of calendars that you own. Select the calendar, and then right-click (or touch and hold if you're using a touch device) to open the menu.

  • If you’ve added a calendar that belongs to someone else to your calendar view, right-click to rename, remove, change the color, or change the charm of that calendar. If you remove a calendar that belongs to someone else, it won't be deleted.

View more than one calendar at a time

  • You can add as many calendars as you want to your account, but you can't view more than 10 at a time. If you’re using the WeekWork week, or Month view and have turned on more than one calendar, they'll be merged into a single view. The color of each calendar lets you know what items belong to which calendar. The background color of non-work hours will also change to match the active calendar.

  • If you’re using the Day view, in the upper-right corner of the calendar window you can choose  or   to decide how you'll view multiple calendars. Merge shows all your open calendars in a vertical format, and Split shows them side by side.

  • When you’re viewing multiple calendars, you can change which one is active by selecting it at the top of the calendar window.

Create items in different calendars

There are two ways to add a new item to an active calendar that you own:

  • Point to a day on the calendar, right-click, and then choose New and complete the Details box.

  • In Calendar, choose the down arrow   > Calendar event, and then add details about the event and select Save.

You can move an item to a different calendar. Here's how:

  1. Select the item you want to move, right-click it, and select Open.

  2. Select More options > Save to calendar, choose the new calendar from the drop-down list, and then select Save  .

Note: When you move an item from one calendar to another, it continues to appear on the calendar it was moved from. The item that appears on the original calendar is highlighted in the color of the calendar it was moved to. On the original calendar, you can double-click the item and edit or delete it.

How to reset your AirPort base station

Learn how to reset your AirPort Time Capsule, AirPort Extreme, or AirPort Express Base Station.

Resetting your AirPort base station restores it to a state that allows you to regain control of it when you lost the base station password or the base station isn't responding as expected. Depending on the base station model, you can perform one or more of these types of resets:

  • Soft reset: Resets the base station password and disables security (Access Control and RADIUS settings) for 5 minutes so that you can join the network to make changes. If you make no changes within 5 minutes, the base station reverts to its former settings. Perform this reset if you can't administer the base station because you forgot its password.

  • Hard reset: Resets the base station to an unconfigured state, but retains the last saved configuration and any profiles, allowing you to restore your base station from previous settings. Perform this reset when the base station is unresponsive, or you're troubleshooting network issues that aren't resolved by other means.

  • Factory-default reset: Like a hard reset, but removes any saved configurations and profiles. Perform this reset if you're selling or giving away your base station. (This does not erase data stored on the built-in hard drive of a Time Capsule, or on any external hard drive connected to the base station.)

When performing a hard reset or factory-default reset:

  • The base station is set to request an IP address by DHCP.

  • The base station password is set to "public."

  • The base station name is set to "base station," followed by the last six digits of the base station's MAC (Media Access Control) address.

  • The base station network name is set to "Apple Network," followed by the last six digits of the base station's MAC address.

  • The base station won't be visible in the Wi-Fi status menu  or AirPort Utility for up to a minute. You may then use the device in its default state or reconfigure it using AirPort Utility.

Before resetting your base station, it's best to make sure that its firmware is up to date, if possible.


Reset 802.11ac or 802.11n models of AirPort base stations

Locate the reset button on the base station, next to the ports. When instructed to do so, press this button with a pen or straightened paperclip.

Soft reset:

  1. Make sure that the base station is connected to power. 

  2. Press and hold the reset button for 1 second, then release the button. The status light on the base station flashes amber.

  3. From the Wi-Fi status menu  in the menu bar, choose the Wi-Fi network created by your base station.

  4. Open AirPort Utility, which is in the Utilities folder of your Applications folder.

  5. Click the icon for your base station in AirPort Utility, then click Edit from the pop-up menu. You can now change the password or reconfigure the base station as needed. When done, click Update.

Hard reset:

  1. Make sure that the base station is connected to power.

  2. Press and hold the reset button for about 5 seconds, until the status light on the base station flashes amber rapidly. Then release the button.

  3. Wait about a minute for the base station to finish restarting.

  4. Open AirPort Utility, which is in the Utilities folder of your Applications folder.

  5. Click the Other Wi-Fi Devices button, then select your base station from the list. Click Edit.

  6. Click the Other Options button.

  7. Click ”Restore previous settings,” then click Next until you get to the final window.

  8. When AirPort Utility indicates that setup is complete, click Done.

Factory-default reset, available only with firmware version 7.9.1 on AirPort Time Capsule 802.11ac and AirPort Extreme 802.11ac:

  1. Disconnect the base station from power.

  2. While holding down the reset button, connect the base station to power and continue to hold the reset button for about 6 seconds, until the status light on the base station flashes amber rapidly.

  3. Wait about a minute for the base station to finish restarting. You can then use AirPort Utility to reconfigure the base station.



Reset 802.11b/g models of AirPort Extreme Base Station

Locate the reset button on the base station, next to the ports. When instructed to do so, press this button with a pen or straightened paperclip.

Soft reset

  1. Make sure that the base station is connected to power.

  2. Hold down the reset button for 10 seconds, then release the button.

Factory-default reset

  1. Disconnect the base station from power.

  2. While holding down the reset button, plug the base station into power and continue to hold the reset button for about 5 seconds, until you see the three status lights turn on. Then release the button.



Reset 802.11b models of Graphite or Snow (Dual Ethernet) AirPort Base Station

Locate the reset button on the base station, next to the ports. When instructed to do so, press this button with a pen or straightened paperclip. If you're using an AirPort Graphite or AirPort Snow (Dual Ethernet) base station, connect your computer directly to the base station using an Ethernet cable.

Soft reset (Mac OS X v10.6 or earlier)

  1. Make sure that the base station is connected to power.

  2. Hold down the reset button for 1 second. The middle LED will blink once every second while the device is in soft reset mode. The base station password is set to "public" and the IP address is reset.

  3. You can connect to the reset base station using the following manual network settings on your computer:

    • IP Address 192.42.249.15

    • Subnet 255.255.255.0

    • Router 192.42.249.13

  4. From Wi-Fi status menu , choose the network created by the base station.

  5. Open AirPort Admin Utility for Graphite and Snow 4.2.5 to reconfigure the base station.

    • IP address: Unless you've been given an IP address by your Internet service provider or system administrator, do not change the IP address.

    • Reset the base station password.

    • Turn encryption on to activate password protection for your network. If you turn on encryption, enter a new password for your network.

    • Make changes to passwords or any other settings you require, then click Update. The base station will use the new settings after it has restarted. 

Factory-default reset (Mac OS X v10.5 or earlier)

  1. Configure your computer's TCP settings to connect using Ethernet to: 

    • IP Address 192.42.249.15

    • Subnet 255.255.255.0

    • Router 192.42.249.13

  2. Disconnect the base station from power, then connect it again.

  3. When all three status lights turn on, hold down the reset button for 30 seconds, until the middle AirPort base station status light turns on. If you're using a Graphite base station and the middle light is green, you pressed the reset button too late. Disconnect power and try again.

  4. Open AirPort Admin Utility for Graphite and Snow 4.2.5 to reconfigure your base station and reinstall the base station software. The base station name will be set to the Ethernet ID of the base station, such as 00-50-E4-5B-8F-EA.

Joining a Zoom meeting

Overview

Before joining a Zoom meeting on a computer or mobile device, you can download the Zoom app from Zoom’s Download Center. Otherwise, you will be prompted to download and install Zoom when you click a join link.

You can also join a test meeting to familiarize yourself with Zoom.

Prerequisites

  • Each meeting has a unique 9, 10, or 11-digit number called a meeting ID that will be required to join a Zoom meeting

  • If you are joining via telephone, you will need the teleconferencing number provided in the invite.

To share your calendar

1. Sign in to your Office 365 account using a web browser. Click Calendar icon (lower left) > Share (upper right), and select calendar you want to share.

2. Type the name or email address of the person you want to share your calendar with in the Share with box. This box works just like the To box in an email message. You can add more than one person to share your calendar with.
